Position Overview
The Finance & Administration Officer is responsible for ensuring sound financial management, compliance, procurement integrity, and efficient administrative operations of the project. The role supports effective implementation by ensuring resources are properly planned, tracked, reported, and used in line with donor and organizational requirements.
Key Responsibilities
1. Budgeting & Financial Planning
Develop detailed budgets based on operational plans.
Ensure proper allocation across project components and activities.
Support financial forecasting and budget revisions aligned with implementation needs.
2. Financial Management & Compliance
Track daily expenditures and ensure alignment with approved budgets.
Maintain strict compliance with donor and organizational financial policies.
Identify and report financial risks, variances, and irregularities.
3. Financial Reporting & Documentation
Prepare accurate monthly, quarterly, and donor financial reports.
Maintain complete, audit-ready financial records and documentation.
Support internal and external audit processes.
4. Procurement & Logistics Administration
Manage transparent procurement processes in line with guidelines.
Ensure timely sourcing of goods, services, and project materials.
Support logistics for training, fieldwork, and project activities.
5. Administrative & Operational Support
Maintain project documentation, contracts, and official records.
Support communication and coordination within the project team.
Ensure smooth day-to-day administrative operations.
6. Efficiency, Risk & Resource Management
Monitor financial risks such as delays, inflation, and cost overruns.
Recommend cost-saving and efficiency improvements.
Promote value for money across all expenditures.
Qualification
BA Degree in Accounting and Finance, Accounting, Finance, Business Administration, Management, or related fields.
Experience
Minimum of 3 years of relevant work experience in finance, accounting, and administration.
Experience in managing finances for donor-funded projects is an advantage.
Skills
Knowledge of financial management, budgeting, and financial reporting.
Familiarity with procurement and administrative procedures.
Proficiency in MS Office applications, particularly Excel and Word.
Strong analytical, organizational, and communication skills.
High integrity, attention to detail, and ability to work under pressure and meet deadlines.
Good command of written and spoken English and Amharic.
