The Receptionist will be the first point of contact for patients and visitors, providing a welcoming and efficient experience. This role involves managing inquiries, directing visitors, scheduling appointments, and performing administrative tasks to ensure smooth clinic or department operations.
KEY RESPONSIBILITIES:
Operational Duties:
Greet patients and visitors warmly and professionally, offering assistance and directions.
Answer incoming calls, manage inquiries, and direct calls to appropriate departments or staff members.
Schedule and confirm patient appointments, manage appointment changes and cancellations.
Register new patients and update existing patient information accurately.
Manage patient flow in the waiting area, minimizing wait times and ensuring comfort.
Handle incoming and outgoing mail and deliveries.
Maintain the cleanliness and organization of the reception area.
Administrative Duties:
Process patient payments and manage basic billing inquiries.
Maintain confidentiality of patient information.
Perform general administrative and clerical tasks as assigned.
Customer Service:
Address patient and visitor concerns with empathy and professionalism, seeking assistance from supervisors when necessary.
Provide information about hospital services and facilities.
REQUIRED MINIMUM QUALIFICATIONS:
Diploma or Certificate in Secretarial Science, Office Management, or a related field.
Minimum of 2 years of experience in a front office or reception role, preferably in a healthcare or customer-facing environment.
KNOWLEDGE, SKILLS AND ABILITIES
:
Excellent verbal and written communication skills in Amharic and English
Proficiency in using computer systems (e.g., Microsoft Office, appointment scheduling software).
Strong organizational skills and ability to multitask effectively.
Pleasant demeanor, patient, and professional attitude.
