The Procurement Officer will be responsible for sourcing, purchasing, and managing the supply of goods and services required by the hospital, including medical supplies, pharmaceuticals, equipment, and general consumables. This role ensures cost-effectiveness, quality, and timely availability of essential items.
KEY RESPONSIBILITIES:
Sourcing and Purchasing Duties:
Identify reliable suppliers and vendors for various hospital needs, both locally and internationally.
Prepare and issue requests for quotations (RFQs), proposals (RFPs), and tenders.
Negotiate favorable terms, prices, and delivery schedules with suppliers to achieve cost savings.
Process purchase requisitions and convert them into purchase orders.
Ensure all procurements comply with hospital policies, ethical guidelines, and relevant Ethiopian regulations.
Supplier and Contract Management Duties:
Develop and maintain strong relationships with key suppliers.
Monitor supplier performance and address any issues related to quality, delivery, or service.
Manage contracts with vendors, ensuring adherence to terms and conditions.
Inventory and Logistics Duties:
Collaborate with the Store Clerk and relevant departments to manage inventory levels and prevent stockouts or overstocking.
Coordinate logistics for timely delivery of goods.
Documentation and Reporting Duties:
Maintain accurate records of all procurement activities, contracts, and supplier information.
Prepare procurement reports, including cost analysis and savings achieved.
Other Duties as Required:
Perform other duties assigned by senior management.
REQUIRED MINIMUM QUALIFICATIONS:
Bachelor's degree or Diploma in Procurement, Supply Chain Management, Business Administration, or a related field.
Minimum of three years of demonstrable experience in a Procurement role.
Professional certification in procurement (e.g., CIPS) is an advantage.
KNOWLEDGE, SKILLS AND ABILITIES
:
Strong negotiation and vendor management skills.
Knowledge of procurement best practices, ethical sourcing, and relevant regulations.
Proficiency in procurement software and Microsoft Excel.
Excellent organizational skills and attention to detail.
