About the Role
The Procurement Officer at Lovegrass Agro Processing PLC is responsible for supporting and managing daily procurement activities to ensure the timely and cost-effective purchase of goods and services. The role includes supplier coordination, quotation collection, purchase order processing, and maintaining proper procurement documentation. The Procurement Officer ensures that all purchasing activities follow company policies, quality standards, and budget requirements.
Key Responsibilities
Sourcing & Vendor Management
Identify and communicate with potential suppliers for raw materials, packaging materials, office supplies, and other company requirements.
Collect and evaluate supplier quotations based on price, quality, and delivery terms.
Maintain updated supplier information and procurement records.
Support the development and maintenance of approved supplier lists.
Quotation & Purchasing Process
Request, compare, and analyze supplier quotations.
Prepare purchasing documents and support purchase approval processes.
Process purchase orders accurately and follow up with suppliers for timely delivery.
Ensure purchased items meet required specifications and quality standards.
Supplier Coordination
Maintain professional communication with suppliers regarding orders, delivery schedules, and product availability.
Follow up on pending orders and resolve basic supplier-related issues.
Support supplier performance monitoring.
Inventory & Department Coordination
Coordinate with warehouse, production, and other departments to understand material requirements.
Support inventory availability by following up on required materials and supplies.
Assist in preventing stock shortages and unnecessary overstocking.
Procurement Documentation & Compliance
Maintain proper procurement files, including quotations, purchase orders, invoices, and supplier documents.
Ensure procurement activities comply with company procedures and ethical standards.
Prepare procurement reports as required.
Market Research & Price Monitoring
Monitor supplier prices and market trends.
Provide updated information on price changes and availability of materials.
Required Qualifications
Bachelor’s degree in Supply Chain Management, Procurement, Logistics, Business Administration, or a related field.
Minimum of 2 years of experience in procurement or supply chain.
Experience in FMCG or manufacturing industries is an advantage.
Key Competencies
Good negotiation and communication skills.
Strong attention to detail and organizational skills.
Proficiency in Microsoft Excel and ERP systems.
Good analytical and problem-solving abilities.
Ability to work under pressure and meet deadlines.
Strong integrity and commitment to company procedures.
