Job Summary:
The Fleet Coordinator plays a critical role in managing our fleet operations, ensuring the efficient and safety of vehicles and drivers. This position involves overseeing driver activities, maintaining good relationships, and optimizing fleet performance. The ideal candidate will demonstrate strong organizational skills, attention to detail, and the ability to work collaboratively across departments.
Key Responsibilities:
Manage and oversee the organization's vehicle and motorcycle fleet, ensuring that all vehicles are maintained in good working condition, properly insured, and compliant with Transport policy and regulations of Ethiopia.
Oversee the efficient deployment, timely submission of logbook reports, recording mileage, fuel consumption, and service history of each vehicles and report to HR & Admin Manager.
Evaluate driver performance through regular assessments, ensuring adherence to safety protocols and company policies.
Implement corrective actions and training programs as necessary to improve driver performance and safety.
Review payment request submitted from garage, corresponding to maintenance ordered and in consultation with HR & Admin Manager.
Organize and facilitate training sessions on safe driving practices, vehicle operation, and compliance with local regulations.
Support logistics operations, including the transportation of goods, materials, and personnel to various sites.
Ensure all vehicles & motorcycles comply with traffic regulations and Transport policies.
Implement and enforce vehicle safety checks before trips, ensuring that all vehicles are roadworthy.
Maintain communication with drivers, Head Office and field teams during emergency situations, providing logistical support as needed.
Prepare and submit regular reports on fleet status, fuel usage, maintenance activities, and any incidents or accidents.
Ensure that all vehicles have the necessary safety equipment, tools, and documentation.
Supervise and provide guidance to drivers, ensuring adherence to the GODEN STAR’s driving policies and safety protocols.
Conduct regular performance evaluations for drivers and provide feedback or training as necessary.
Report vehicle and motorcycle accidents to the insurance company promptly and follow up on claims with close consultation of the HR & Admin Manager and Legal Advisor until repairs is completed.
Ensure all vehicles are equipped with necessary field tools, including spare tires, and are serviced, washed, and greased on schedule.
Ensure adherence to proper procedures when vehicles are checked in and out of the garage, in close consultation with the HR & Admin Manager.
Maintain up-to-date insurance coverage for all vehicles.
Ensure annual inspections by the authorized government authority before specified deadlines for all vehicles and motorcycles are completed on time.
Maintain and organize all fleet-related documentation in consultation with the HR & Admin Manager.
Manage transportation requirements for the respective staff, including vehicle allocation and arrangement, when requested and approved, in close consultation with the HR & Admin Manager.
Maintain necessary documentation for all vehicles, including registrations, insurance, and maintenance records.
Ensure all newly acquired vehicles are registered, insured, and documented in accordance with Ethiopian transport regulations.
Qualifications:
Bachelor’s degree in mechanical engineering, logistics, transportation management, business administration or a related field preferred.
Minimum 3 years of experience in Fleet Management, Logistics, or transportation coordination.
A valid driver’s license. Certifications in fleet management or logistics can be an added advantage.
Ability to work flexible hours and respond to emergencies as needed.
