Position Summary
REGALFRONT Consultancy PLC
is seeking a highly motivated, organized, and professional Executive Secretary and Administrative Assistant to provide executive-level administrative support to the General Manager and the management team. The successful candidate will be responsible for office administration, correspondence management, scheduling, document management, client relations, and supporting consultancy and proposal development operations.
The position requires excellent communication skills, strong organizational abilities, attention to detail, and the capacity to manage multiple assignments in a fast-paced professional environment.
Key Duties and Responsibilities
Executive and Administrative Support
Manage the General Manager's calendar, appointments, meetings, and travel arrangements.
Prepare and manage official correspondence, letters, emails, and reports.
Draft, edit, and format business documents, proposals, presentations, and reports.
Organize meetings, workshops, and conferences, including logistics and documentation.
Take meeting minutes and follow up on action points.
Maintain confidential company records and files.
Office Management
Manage daily office operations and administrative activities.
Maintain filing systems and document archives, both electronic and hard copy.
Ensure proper record management and document tracking.
Manage office supplies and inventory.
Receive visitors and clients professionally and direct them appropriately.
Proposal and Project Support
Support proposal development teams through document organization and administrative coordination.
Assist in compiling proposal annexes, supporting documents, and submission packages.
Maintain donor databases, partner contacts, and organizational records.
Track proposal submission deadlines and support compliance requirements.
Assist in organizing project-related meetings, workshops, and field mission logistics.
Communication and Coordination
Serve as the primary administrative contact for clients, partners, consultants, and stakeholders.
Facilitate communication between management, staff, partners, and clients.
Follow up on correspondence and administrative actions as directed by management.
Support public relations and professional communication activities.
Other Duties
Perform other related duties assigned by the General Manager.
Support organizational growth, business development, and consultancy operations as required.

Qualifications and Experience
Education
Bachelor's Degree in Secretarial Science, Office Administration, Management, Business Administration, Information Management, Public Administration, or a related field.
Candidates with a Diploma and extensive relevant experience may also be considered.
Experience
Minimum of three (3) years of relevant experience for Bachelor's Degree holders.
Minimum of five (5) years of relevant experience for Diploma holders.
Experience working with consultancy firms, NGOs, development organizations, donor-funded projects, or private companies is highly desirable.
Required Skills and Competencies
Excellent written and spoken English and Amharic.
Strong report writing and business correspondence skills.
Advanced proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
Excellent organizational and document management skills.
Strong interpersonal and communication skills.
Ability to maintain confidentiality and professionalism.
Strong multitasking and time-management abilities.
Experience in proposal development support is an advantage.
Familiarity with donor-funded projects and NGO operations is an asset.
