Position Overview:
We are moving past the traditional "secretary" model. We are seeking a highly energetic,
tech-savvy, and multi-talented Executive Assistant & Operations Specialist
. This position is designed for an agile problem-solver who can effortlessly shift from professional document management and executive support to driving our digital presence, coordinating external field tasks, and providing analytical support for our upcoming
ISO standard certification journey
.
Key Responsibilities:
Digital & Social Media Management:
Oversee, update, and manage the medical center’s business social media channels (Facebook, Telegram, Instagram, etc.); engage professionally with online patient inquiries and maintain brand alignment.
ISO Certification & Analytical Support:
Assist management in auditing, reviewing, and organizing administrative workflows; apply analytical thinking to map out documentation, tracking mechanisms, and quality controls required for ISO compliance.
Field Coordination & Liaison:
Act as a trusted representative to execute light administrative, regulatory, or operational errands at various government and private offices, freeing up senior management for high-level operations.
Advanced Documentation & Tech Support:
Go beyond basic typing by utilizing modern cloud tools (Google Workspace, advanced MS Office, PDF management) to maintain organized digital archives and internal records.
Agile Task Execution:
Demonstrate high flexibility by adapting to shifting priorities, accepting diverse project assignments, and taking proactive ownership of newly arising tasks.
Qualifications & Requirements:
Education:
Degree or Advanced Diploma in Information Technology (IT), Business Administration, Management, Secretarial Science & Office Management, Marketing, or a highly related analytical field.
Experience:
Minimum of 2 years of experience in a fast-paced administrative or executive assistant role. Prior exposure to social media management or quality management systems (like ISO framework preparation) is highly advantageous.
Skills:
Tech-Savvy Mastery:
Advanced knowledge of Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace. Experience using social media business tools and creators’ suites.
Analytical Mindset:
Exceptional eye for detail, structural documentation, process tracking, and workflow analysis.
Dynamic Communication:
Flawless professional written and spoken Amharic and English. Additional language skills are an asset.
Proactive & Mobile:
Energetic disposition with the willingness and stamina to handle field tasks outside the office when necessary.
High Adaptability:
A resilient, positive attitude toward learning new skills and taking on changing operational duties.
