Established in 1992 in response to the Safe Motherhood Initiative, the Ethiopian Society of Obstetricians & Gynecologists (ESOG) is a premier professional association dedicated to improving maternal, newborn, and reproductive health outcomes across Ethiopia. For 34 years, ESOG has served as a collective professional voice working in close partnership with the Federal Ministry of Health and international stakeholders to combat high maternal and perinatal mortality through evidence-based interventions like Safe Motherhood, PMTCT, and CEmONC. Today, the society boasts a robust and expanding network of approximately 1,000 members, supported by its Addis Ababa headquarters and eight regional chapter offices. With a strategic focus on nationwide growth and the annual integration of new graduates, ESOG remains committed to providing compassionate, respectful care and advancing the professional excellence of its members to ensure the highest health standards for women and families nationwide.
Position Summary
The Human Resources and Members’ Affairs Officer is a  position responsible for leading ESOG’s internal human resource systems and members’ affairs under one coordinated institutional framework.
The position ensures:
A compliant, performance-oriented, and well-structured HR system for staff.
A dynamic, organized, and growing membership base of obstetricians and gynecologists nationwide.
Strong institutional governance, documentation systems, and stakeholder engagement.
Alignment of human capital and membership strategy with ESOG’s mission, vision, and strategic plan.
This role requires strategic thinking, institutional diplomacy, high ethical standards, and strong organizational leadership.
Key Responsibilities
A. Human Resources Management
1. HR Systems & Policy Development
Develop and update HR policies, procedures, and staff handbook in compliance with Ethiopian labor law and civil society regulations.
Maintain clear job descriptions and reporting structures.
Ensure compliance with employment contracts and personnel documentation standards.
Support organizational restructuring and growth planning.
2. Recruitment & Talent Management
Lead transparent and merit-based recruitment processes.
Coordinate interview panels and selection documentation.
Oversee staff onboarding and orientation.
Develop succession planning strategies.
3. Performance Management & Capacity Building
Design and implement annual performance appraisal systems.
Align staff KPIs with ESOG’s strategic priorities.
Identify training and capacity-building needs.
Promote a results-oriented and accountable work culture.
4. Staff Welfare & Employee Relations
Address workplace grievances professionally and confidentially.
Manage disciplinary processes in line with policy.
Promote staff engagement and organizational morale.
Oversee leave management and staff benefits administration.
5. HR Compliance & Risk Management
Ensure compliance with Ethiopian labor regulations.
Maintain confidential personnel records.
Support internal audit processes related to HR systems.
Strengthen internal controls and documentation practices.
B. Members’ Affairs and Relations Management
1. Membership Strategy & Retention
Develop and implement a comprehensive membership engagement and retention strategy.
Strengthen renewal systems and increase membership compliance.
Develop tailored value propositions for specialists, residents, and fellows.
Conduct periodic member satisfaction assessments.
2. Members’ Affairs Management
a) Membership Documentation & Database Management
Maintain a complete, accurate, and secure membership registry.
Digitize and organize members’ records.
Produce periodic membership analytics and status reports.
b) Membership Fees & Financial Follow-Up
Coordinate with Finance team to monitor membership fee payments.
Develop structured follow-up systems for renewals and arrears.
Provide quarterly financial status reports on membership contributions.
c) Member Communication & Engagement
Ensure structured and consistent communication with members.
Coordinate newsletters, announcements, and official updates.
Strengthen two-way communication between leadership and membership.
d) Litigation & Professional Support Coordination
Coordinate with the Legal Advisor on medico-legal matters affecting members.
Maintain confidential records related to professional support cases.
Support advocacy initiatives protecting members’ professional rights.
e) Membership Expansion
Develop strategies to recruit non-member obstetricians and gynecologists nationwide.
Identify barriers to membership and recommend solutions.
Work with branch offices to expand membership coverage regionally.
f) Member Benefits & Institutional Relationship Building
Strengthen tangible and intangible membership benefits.
Promote professional networking, recognition programs, and leadership pathways.
Enhance institutional loyalty and engagement.
C. Branch & Stakeholder Coordination
Coordinate with branch secretaries across regional offices.
Align branch-level membership initiatives with national strategy.
Support national conferences and CME-related member engagement activities.
D. Reporting & Governance Support
Provide quarterly HR and membership reports to the Executive Director.
Support preparation of reports for the Executive Board and Annual Business Meeting.
Contribute to governance improvements related to staff and member systems
Required Qualifications
BA/ MA in Human Resource Management, Business Administration, Organizational Development, or related field.
Minimum five (5) years of progressive experience in HR management, stakeholder management, or professional association environments.
Strong understanding of Ethiopian labor law and civil society regulatory frameworks.
Experience in
interactive
database management
, Microsoft access, excel, PowerPoint, and institutional systems development.
Expertise in artificial intelligence basics and web-based data base development is a plus
