The Role
The Supervisor – Inventory Planning, Analysis & Reporting is responsible for overseeing inventory planning, stock control, reporting, and inventory analysis activities to ensure optimal inventory levels and operational efficiency across the organization. The role supervises inventory personnel and coordinates with procurement, warehouse, finance, logistics, and operations teams to maintain inventory accuracy, minimize stock variances, prevent stockouts and overstocking, and support business continuity through effective inventory management practices. The position also ensures compliance with company procedures, safety standards, and regulatory requirements while driving continuous improvement initiatives within the inventory management function.
Key Responsibilities & Duties
Inventory Planning & Control
Develop and implement inventory planning strategies to maintain optimal stock levels while minimizing excess inventory and stock shortages.
Monitor inventory movements, stock availability, reorder points, lead times, and safety stock levels.
Coordinate inventory replenishment activities based on demand forecasts and operational requirements.
Conduct regular cycle counts, stock counts, and physical inventory audits.
Reconcile discrepancies between physical inventory and system records and implement corrective actions.
Monitor inventory aging, slow-moving, obsolete, and damaged stock and recommend appropriate actions.
Ensure accurate inventory valuation and inventory control practices are maintained.
Maintain inventory accuracy within ERP and inventory management systems.
Coordinate storage allocation and inventory flow optimization within warehouse operations.
Ensure proper handling and storage of inventory items, including temperature-sensitive and regulated products where applicable.
2. Inventory Analysis & Reporting
Generate and distribute daily, weekly, and monthly inventory and operational KPI reports.
Analyse inventory trends, stock movements, and demand patterns to support forecasting and business decisions.
Monitor and report on Inventory turnover Fill rates Forecast accuracy Carrying costs, Stock variances, Inventory aging, Order fulfilment performance
Prepare inventory dashboards, management reports, and analytical summaries.
Conduct root cause analysis on inventory discrepancies and operational inefficiencies.
Generate ad hoc reports and data analysis for management and operational teams.
Monitor and maintain accurate material master data and inventory records within ERP systems.
Ensure accurate documentation of purchase requisitions, inventory adjustments, transfers, and receiving records.
3. Receiving & Inventory Operations
Oversee receiving activities for incoming inventory shipments and verify accuracy against purchase orders and shipping documents.
Coordinate with procurement and warehouse teams regarding shipment schedules and inventory availability.
Ensure receiving documentation is accurately processed and updated in inventory systems.
Investigate and report shortages, damages, discrepancies, and non-conforming materials.
Coordinate unloading, storage, and inventory placement activities to maximize warehouse efficiency.
Ensure inventory handling procedures comply with company standards and regulatory requirements.
4. Team Leadership & Supervision
Supervise, coach, mentor, and evaluate inventory planners, analysts, stock monitors, and inventory control personnel.
Delegate daily operational tasks and monitor team productivity and performance.
Participate in recruitment, onboarding, performance evaluations, disciplinary actions, and employee development initiatives.
Develop and implement training programs for inventory staff on systems, SOPs, inventory procedures, and safety standards.
Foster a positive, accountable, and continuous improvement culture within the department.
Mentor junior inventory personnel and support employee career development.
5. Systems, Compliance & Continuous Improvement
Develop, implement, and maintain Standard Operating Procedures (SOPs) for inventory planning, receiving, stock control, and reporting processes.
Ensure compliance with company policies, safety regulations, quality standards, and industry requirements.
Support continuous improvement initiatives aimed at improving inventory accuracy, operational efficiency, and cost reduction.
Monitor department equipment and operational resources to minimize downtime and maintain efficiency.
Participate in incident investigations, corrective actions, and safety reporting.
Collaborate with Regulatory Affairs, Finance, Procurement, Logistics, Warehouse, and Customer Service teams to improve overall supply chain performance.
Qualifications & Experience
Education
Bachelor’s degree in supply chain management, Logistics & Transport Management, Business Administration, Procurement & Logistics, Operations Management Or a related field from recognized institution
Experience
Minimum of
4–6 years of progressive experience
in Inventory Management Supply Chain Operations Demand Planning Inventory Control Warehouse Operations Previous supervisory or team leadership experience is required Experience in mining, heavy industry, or Cement factory, or logistics industries is advantageous
Knowledge of regulatory and compliance requirements related to inventory handling.
Experience implementing inventory optimization or warehouse improvement initiatives.
Certified in Planning and Inventory Management and Certified Supply Chain Professional or Inventory or Warehouse Management certifications are advantageous.
Technical Skills
Advanced proficiency in Microsoft office Excel, Microsoft Word, PowerPoint, Outlook
Strong knowledge of ERP and inventory management systems such as SAP Oracle Odoo NetSuite Microsoft Dynamics
Strong database management and reporting capabilities.
Knowledge of inventory forecasting and inventory analysis techniques.
