Job Purpose
The Pharmacy Manager is responsible for ensuring the effective management of pharmaceutical services, medical supplies, and pharmacy operations across MdM Germany's health programs in Ethiopia. The role ensures compliance with MdM, donor, Ministry of Health, and international pharmaceutical standards while guaranteeing the uninterrupted availability, quality, and rational use of medicines and medical consumables. He/She provides technical leadership in pharmaceutical management, inventory control, forecasting, procurement planning, quality assurance, and staff capacity building.
Key Responsibilities
Pharmaceutical Supply Chain Management.
Lead forecasting, quantification, and procurement planning of pharmaceuticals and medical consumables.
Ensure continuous availability of essential medicines and medical supplies while minimizing stock-outs and expiries.
Monitor stock levels and consumption trends across all health facilities and project sites.
Coordinate closely with logistics and procurement teams to ensure timely replenishment of medical supplies.
Support importation, customs clearance, and regulatory compliance for pharmaceutical products where required.
Pharmacy and Medical Warehouse Management
Ensure proper storage, handling, and distribution of pharmaceuticals according to Good Storage Practices (GSP).
Monitor temperature-sensitive products and maintain cold-chain compliance.
Conduct regular inventory counts, stock reconciliations, and expiry tracking.
Implement effective stock management systems and reporting tools.
Ensure proper disposal of expired, damaged, and obsolete medicines according to national regulations and MdM procedures.
Support GSP in partner health facilities
Quality Assurance and Regulatory Compliance
Ensure compliance with Ethiopian pharmaceutical regulations and Ministry of Health requirements.
Monitor adherence to MdM pharmaceutical policies, SOPs, and donor regulations.
Verify product quality and ensure procurement from approved suppliers.
Support pharmacovigilance activities and reporting of adverse drug reactions.
Conduct regular pharmacy audits and follow-up corrective action.
Rational Use of Medicines
Promote rational prescribing, dispensing, and medicine use practices.
Support implementation of treatment protocols and essential medicines lists.
Analyze medicine consumption patterns and identify inappropriate use.
Collaborate with medical teams to improve prescribing practices and antimicrobial stewardship.
Ensure proper patient counseling and safe dispensing practices.
Coordination and Technical Support
Provide technical pharmaceutical guidance to project teams and health facilities.
Coordinate with health authorities, partners, suppliers, and relevant stakeholders.
Participate in health program planning, emergency preparedness, and outbreak response activities.
Contribute to medical supply strategies for emergency interventions.
Reporting and Information Management
Prepare monthly pharmaceutical and stock management reports.
Monitor key pharmaceutical indicators, including stock availability, wastage rates, stock-outs, and consumption trends.
Support donor reporting requirements related to pharmaceutical management.
Maintain accurate documentation and audit-ready records.
Team Management and Capacity Building
Supervise, mentor, and support pharmacy and medical warehouse staff.
Develop work plans, objectives, and performance evaluations.
Support conducting training on pharmaceutical management, stock control, and dispensing practices for MdM and local partners’ staff
Build the capacity of health facility staff on medicine management and storage standards.
Qualifications and Experience
Education
Bachelor’s degree in pharmacy (B.Pharm)
Registration with a recognized Pharmacy Council or Regulatory Authority.
Experience
Minimum 3 years of professional pharmacy experience.
At least 3 years in humanitarian, development, or public health programs.
Experience managing pharmaceutical supply chains in emergencies or low-resource settings.
Previous experience with international NGOs is highly desirable.
Experience in Ethiopia or East Africa is an asset.
Technical Skills
Pharmaceutical supply chain management.
Forecasting and quantification.
Medical inventory management.
Cold chain management.
Quality assurance and pharmacovigilance.
Donor compliance and reporting.
Advanced Microsoft Excel and pharmacy inventory systems.
Languages
Fluency in English required.
Knowledge of Amharic or other local languages is an advantage.
