ABAYS Trading PLC is the leading Manufacturing Company of Ethiopia which manufactures agriculture products both for local and international markets. It has been active since 2012 and exports over 40 high quality value added agricultural products which meet world relevant standards to three main destination countries such as America, Canada and Australia and other locations. Moreover, it distributed such products to local market. Nowadays, in line with government trade, marketing and development strategies, it strives to produce world class products of having high demand. This effort has allowed it to start to generate foreign currency and create job opportunity for 500 Ethiopian youths.
Now it is seeking a qualified General Service Senior Officer ((Fleet). The Officer will be responsible for coordinating the fleet operation (the team, material resource and the system). This role requires strong logistical planning skills, the ability to engage in multitask, and a focus on efficiency and cost-effectiveness.
Key Role/Responsibilities:
Manage and oversee the organization's vehicle and motorcycle fleet, ensuring that all vehicles and MB are maintained in good working condition, properly insured, and compliant with Transport policy and regulations of Ethiopia.
Oversee the efficient deployment, timely submission of logbook reports, recording mileage, fuel consumption, and service history of each vehicles and report to General Service Manager.
Review payment request submitted from garage, corresponding to maintenance ordered and in consultation with General Service Manager
Follow up on fleet report from Sululta office, compile the report and analyze vehicle usage data to optimize routes, reduce costs, and improve operational efficiency and submits reports on same to the General Service Manager.
Support logistics operations, including the transportation of goods, materials, and personnel to various sites (ABAYS Factory, Shops, Airport, Railway station, rural area etc.).
Ensure all vehicles & motorcycles comply with traffic regulations and Transport policies.
Implement and enforce vehicle safety checks before trips, ensuring that all vehicles are roadworthy.
Maintain communication with drivers, Head Office and field teams during emergency situations, providing logistical support as needed.
Prepare and submit regular reports on fleet status, fuel usage, maintenance activities, and any incidents or accidents
Ensure that all vehicles have the necessary safety equipment, tools, and documentation.
Supervise and provide guidance to drivers, ensuring adherence to the ABAYS’s driving policies and safety protocols.
Conduct regular performance evaluations for drivers and provide feedback or training as necessary.
Report vehicle and motorcycle accidents to the insurance company promptly and follow up on claims with close consultation of the General Service Manager and Legal Advisor until repairs is completed.
Ensure all vehicles are equipped with necessary field tools, including spare tires, and are serviced, washed, and greased on schedule.
Ensure adherence to proper procedures when vehicles are checked in and out of the garage, in close consultation with the General Service Manager
Maintain up-to-date insurance coverage for all vehicles
Ensure annual inspections by the authorized government authority before specified deadlines for all vehicles and motorcycles are completed on time.
Maintain and organize all fleet-related documentation in consultation with the General Service Manager.
Manage transportation requirements for the respective staff, including vehicle allocation and arrangement, when requested and approved, in close consultation with the General Service Manager.
Ensure vehicles remain in safe and efficient working condition. Report maintenance needs promptly and follow up on preventive maintenance schedules to minimize breakdowns and operational delays.
Coordinate repair activities with garages and technicians to ensure timely maintenance services and quality repairs. Monitor spare parts usage and maintenance costs to support effective fleet management and maintain accurate maintenance records.
Maintain fuel log sheets and conduct fuel consumption analysis to monitor vehicle efficiency and control operational costs. Monitor maintenance expenses and repair history to ensure proper budgeting, timely servicing, and accurate maintenance tracking.
Control spare parts requests and maintain usage records to support effective inventory management and minimize shortages or misuse. Prepare monthly fleet maintenance reports summarizing vehicle performance, maintenance activities, fuel usage, and repair costs for management review.
Support troubleshooting for vehicle breakdowns
as Logistics Officer, perform preventive and corrective maintenance activities to ensure vehicles and equipment remain in safe and efficient operating condition. Conduct regular inspections, identify mechanical faults, and coordinate timely repairs to minimize downtime and support continuous operations.
Follow preventive maintenance schedules, monitor repair activities, and maintain accurate maintenance records, including spare parts usage and service history. Coordinate with technicians and garages to ensure quality maintenance services while supporting the overall reliability and performance of the fleet.
Facilitate the rental of vehicles for various activities, such as Van Sales, Staff service etc.
Implement and follow up a vehicle tracking system (GPS) to monitor the location, usage, and condition of vehicles in real-time, checks and verify that the log sheet report aligned with the GPS report, and submit the required summary report to the General Service Manager.
Assist in the procurement of new vehicles, including developing specifications and working with vendors and manage the disposal of old or unserviceable vehicles in compliance with the ABAYS’s policies in close consultation of the General Service Manager.
Provide summarized weekly, monthly activity, quarterly, biannual and annual reports to the General Service Manager.
Perform other activities as instructed by the General Service Manager/Director and General Manager.

Qualification:-
Educational Background:
BA/BSC Degree/Diploma/ in Logistics Management, Automotive Engineering, Transport management, Supply Chain and Property Management, Materials Management or relevant field of study.
Experience:
Relevant experience of a minimum of two years in fleet, logistics, and supply chain management
Additional Requirements:
Understanding of GPS tracking systems for real-time vehicle monitoring.
Ability to identify and mitigate risks associated with fleet operations.
Very good analytical capacity, creativity and strong interpersonal communication skill.
Able to speak and write in English and
Excellent computer proficiency in Microsoft applications
