Position Title: Assistant Registrar Head for TVET Program Department: Office of the Registrar Employment Type: Full-Time / Permanent Job Summary The Assistant Registrar Head for TVET Programs will be responsible for managing student academic records, supporting student registration, organizing TVET training documentation, and ensuring compliance with institutional policies and TVET regulatory standards (Level I–IV). This role involves maintaining accurate database records, issuing academic credentials, and serving as the administrative bridge between TVET trainees, trainers, and the Registrar’s Office. Key Duties & Responsibilities Registration & Admissions: Process intake applications, verify entry qualifications (e.g., Grade 10/12 completion certificates, COC results), and conduct registration for regular and extension TVET trainees. Student Record Management: Maintain up-to-date physical and digital files for all TVET students, including enrollment forms, module assessments, transcript updates, and grade submissions. Assessment & COC Documentation: Coordinate with TVET department heads to register candidates for institutional assessments and Center of Competency (COC) evaluation exams. Academic Credentials: Prepare official transcripts, letters of attendance, completion certificates, and verification documents upon request. Customer Support: Assist trainees with academic inquiries, course/module add/drop requests, and administrative orientation. Reporting: Compile statistical reports on TVET trainee enrollment, retention, and completion rates for office leadership. About You Job Requirements & Qualifications Education: First Degree in information technology, information science, information systems, information system management, Computer Science, Database Administration, Statistics, Software Engineering and related fields Experience: Minimum of 2 years of direct experience in Curriculum tracking, managing graduation clearances, student data protection laws, processing academic transcripts, and supervising team officers (experience within a college or TVET institute is highly preferred). Technical & Soft Skills: Proficiency in MS Office Suite (Word, Excel) and student database management software. Knowledge of TVET modular training structures and qualification frameworks. Strong organizational skills, high accuracy in record-keeping, and attention to detail. Excellent written and verbal communication skills. Document and Compliance Requirements To satisfy official civil and institutional recruitment audits, applicants must present: Employment Clearance: Valid, authenticated resignation letters along with formal clearance paperwork from the current or immediate past employer. Government Authentication: the relevant state regulatory body (e.g., Education and Training Authority – ETA) must officially authenticate educational credentials. Taxation Validation: For candidates coming from private corporations or colleges, an official income tax deduction confirmation document generated by the Ethiopian Revenues & Customs Authority (ERCA) must be supplied.
