Overview of role:

The Support Services Officer is responsible for coordinating and delivering day-to-day logistics, procurement, transport, asset, facility and administrative support for MAG’s field operations based in Axum, Tigray.

The role will ensure timely and effective support to MAG’s clearance/EOD, Community Liaison (CL), Explosive Ordnance Risk Education (EORE) and other programme activities operating from the Axum field base. Working closely with operational and programme teams, the Support Services Officer will ensure that vehicles, equipment, supplies, facilities and other support requirements are effectively coordinated to enable safe and efficient field delivery.

The post holder will report to the Logistics Coordinator and will supervise drivers and cleaner/support staff based in Axum.

Responsibilities:

Field Logistics and Operational Support:
  • Coordinate day-to-day logistics and support services for MAG field operations based in Axum.
  • Work closely with clearance/EOD, Community Liaison, EORE and programme teams to identify and respond to operational support requirements.
  • Support field deployment planning by coordinating vehicles, drivers, equipment, supplies and other logistical requirements.
  • Ensure operational teams receive required logistical support in a timely and efficient manner.
  • Maintain regular communication with the Logistics Coordinator regarding field logistics requirements, challenges and priorities.
  • Support mobilisation and demobilisation of field teams and equipment as required.
  • Assist in resolving day-to-day logistical challenges that may affect field operations.
  • Contribute to field and operational planning meetings as required.

Procurement and Supply Support:

  • Support local procurement activities in Axum in accordance with MAG procurement policies, procedures and donor requirements.
  • Obtain quotations and supporting procurement documentation as required.
  • Liaise with approved suppliers and service providers to ensure timely delivery of goods and services.
  • Support implementation and monitoring of procurement plans relating to field operations.
  • Maintain accurate procurement and purchasing records and submit required documentation to the Logistics Coordinator and Finance team.
  • Monitor availability of essential operational and office supplies and initiate replenishment requests in a timely manner.
  • Support supplier identification and monitoring of supplier performance within the operational area.
  • Coordinate with Finance to facilitate timely processing of payments related to locally procured goods and services.

Stores, Equipment and Asset Management:

  • Support the receipt, storage, issuance and tracking of equipment, materials and supplies at the Axum field base.
  • Maintain accurate stock and inventory records in accordance with MAG procedures.
  • Ensure equipment and supplies issued to operational and programme teams are appropriately documented.
  • Conduct routine physical stock and asset checks and report discrepancies to the Logistics Coordinator.
  • Support the management and tracking of MAG assets based in Axum.
  • Ensure assets and equipment are appropriately stored, maintained and protected from loss or damage.
  • Support equipment movements, transfers and returns in accordance with MAG procedures.

Base and Facility Management:

  • Ensure the Axum office and field base are maintained in a safe, functional and professional condition.
  • Coordinate day-to-day facility maintenance, repairs and cleanliness.
  • Supervise cleaner/support staff and ensure duties are performed to required standards.
  • Monitor office and base consumables and ensure timely replenishment.
  • Liaise with landlords, utility providers and local service providers on routine facility matters, in consultation with the Logistics Coordinator.
  • Monitor utilities, including electricity, water and internet services, and report or follow up on service interruptions.
  • Support implementation of health, safety and security requirements relating to MAG premises and facilities.
  • Support the management of field accommodation or other MAG facilities in Axum where required.

Administration and Local Liaison:

  • Provide administrative and logistical support to MAG staff and visitors travelling to or operating from Axum.
  • Support travel and accommodation arrangements, transportation and other field movement requirements.
  • Liaise with relevant local authorities and service providers on routine administrative and operational support matters, as directed by the Logistics Coordinator or programme management.
  • Draft routine letters, requests and administrative documents where required.
  • Provide translation and local liaison support when necessary.
  • Maintain organised and accurate logistics and administrative records.
  • Support visits by MAG national and international staff, donors and other stakeholders as required.

Staff Supervision:

  • Provide day-to-day supervision and task allocation for drivers and cleaner/support staff based in Axum.
  • Ensure supervised staff understand their duties, responsibilities and MAG procedures.
  • Monitor attendance, performance and standards of work and raise any concerns with the Logistics Coordinator.
  • Support staff development and promote a professional, respectful and collaborative working environment.
  • Ensure drivers and support staff comply with MAG safeguarding, safety, security and code of conduct requirements.

General Responsibilities:

About You

  • Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or a related field.
  • Minimum of 2 years of professional experience in a similar role, ideally within an NGO or international organization.
  • Demonstrated experience in procurement, logistics, or administrative support functions.
  • Experience in supplier management, procurement processes, or inventory/asset tracking is desirable.
  • Experience supporting office or facility management is an asset.
  • Self-organized, team player, and able to work under limited supervision.
  • Experience with Mine Action Organizations preferred.
  • Good literacy, numeracy, and IT skills (e.g., Word/Excel).
  • Good written and spoken English, Tigrinya & Amharic.
