01. Head, Office of the Registrar

Job Summary

The Head of the Registrar’s Office is responsible for planning, organizing, directing, and evaluating all administrative operations related to student admissions, enrollment, academic records, course scheduling, degree verification, and graduation processes. This position plays a critical role in enforcing academic policies, maintaining the integrity and security of institutional records, and leading the digital transformation of student record management systems.

Key Duties & Responsibilities

Academic Records & Compliance Management

  • Maintain accurate, confidential, and secure academic records, transcripts, diplomas, and official certifications in accordance with institutional policies and regulatory standards.
  • Oversee degree audit processes, credit transfer evaluations, and final graduation list verifications.
  • Manage student academic standings, probation records, readmissions, and withdraw processing.

Admissions, Registration & Scheduling

  • Coordinate student enrollment cycles, registration procedures, and course scheduling in collaboration with academic department heads.
  • Oversee student admissions processes to ensure transparency and compliance with institutional entry requirements.
  • Prepare and distribute official academic calendars, catalogues, and registration guidelines.

Systems & Administrative Oversight

  • Direct the administration, maintenance, and upgrade of the Student Information System (SIS) / Management Information System (MIS).
  • Formulate, implement, and update operating procedures and policies for the Registrar’s office.
  • Lead, evaluate, and mentor administrative staff working within the Registrar’s Directorate.
  • Provide official statistical data and enrollment reports to senior management for workforce and institutional planning.

Minimum Qualifications:

Education:

    • MSc in information technology, information science, information systems, management information system, Computer Science, Database Administration, Statistics, Software Engineering or related fields.

Work Experience:

    • Minimum 2 years and above relevant work experience in Higher Educational Institute.

Knowledge, Skills & Abilities

  • Strong proficiency in Student Information Systems (SIS), relational database management, and MS Office applications.
  • In-depth understanding of higher education academic rules, accreditation standards, and regulatory compliance.
  • Excellent written and oral communication skills in English (and the local working language, if applicable).
  • Demonstrated leadership, conflict resolution, analytical problem-solving, and time-management capabilities.
