Role description

Job Summary
The General Service Officer is responsible for providing administrative, logistical, fleet management, and liaison support to ensure the efficient operation of the company. The role oversees office administration, fleet maintenance, procurement, asset management, regulatory compliance, and stakeholder coordination while serving as a key link between the company, government agencies, service providers, and internal departments.
Key Responsibilities
Administration and Operations
Coordinate and oversee day-to-day administrative and support services.
Manage office facilities, equipment, utilities, and maintenance requirements.
Ensure the availability and proper management of office supplies and operational resources.
Maintain accurate records, files, and documentation related to administrative and operational activities.
Support the planning and coordination of meetings, training sessions, events, and company activities.
Prepare periodic reports and updates on administrative, fleet, and operational matters.
Fleet Management
Manage and coordinate fleet operations to ensure maximum vehicle availability and operational efficiency.
Monitor vehicle condition and schedule preventive and corrective maintenance activities.
Maintain records of vehicle servicing, repairs, inspections, registrations, insurance, permits, and other fleet documentation..
Conduct regular vehicle inspections and ensure compliance with safety and operational standards.
Monitor fuel consumption, vehicle utilization, maintenance costs, and fleet performance.
Liaise with insurance providers regarding vehicle insurance, claims, and renewals.
Procurement and Asset Management
Coordinate the procurement of goods, services, and operational supplies in accordance with company policies.
Manage inventory and ensure proper tracking and accountability of company assets.
Maintain asset registers and conduct periodic asset verification exercises.
Monitor supplier performance and ensure timely delivery of goods and services.
Support contract administration and vendor relationship management.
Liaison and Regulatory Compliance
Serve as the primary liaison between the company and external stakeholders, including government agencies, regulatory authorities, insurance companies, and service providers.
Coordinate the processing and renewal of vehicle registrations, permits, licenses, and other regulatory documentation.
Ensure compliance with transportation regulations, company policies, and legal requirements.
Follow up on official correspondence, approvals, and regulatory matters affecting company operations.
Maintain productive relationships with relevant authorities and external partners.
Monitor regulatory developments and communicate relevant updates to management.
Coordination and Stakeholder Management
Facilitate effective communication and coordination between Operations, Finance, Human Resources, and other departments.
Support driver and operational staff onboarding processes, including documentation and compliance requirements.
Coordinate transportation and logistical arrangements for company activities and official assignments.
Assist in resolving operational and administrative issues through collaboration with internal and external stakeholders.
Bachelor's degree in Business Administration, Logistics, Supply Chain Management, Transport Management, Public Administration, or a related field.
Minimum of 2–5 years of experience in administration, logistics, fleet management, transport operations, or a related area.
Knowledge of fleet management, vehicle maintenance, procurement, and regulatory compliance.
Proficiency in Microsoft Office applications, particularly Excel, Word, and PowerPoint.
Strong organizational, communication, and problem-solving skills.
