Job Responsibilities
Supply Chain & Logistics
Ensure supply chain and logistics processes comply with the DRC Operations Handbook. Provide effective and efficient support to program needs. Maintain relationships with suppliers, government offices, and other NGOs on supply chain matters. Ensure effective transportation systems support field programs. Oversee the management and timely servicing of generators. Ensure stocks are properly accounted for and managed. Maintain proper filing of supply chain documents.
Procurement
Manage procurement activities at the Area Office within approved thresholds. Implement procurement plans. Process procurement requests in compliance with DRC and donor requirements. Maintain trackers for procurement requests, quotations, payments, and related processes. Participate in BFU meetings and provide timely updates to budget holders. Maintain accurate and auditable supply chain records. Process payments for completed goods, services, and works and submit them to Finance. Maintain flexible logistics systems capable of supporting increased program activities. Conduct regular market surveys to analyze trends and ensure value for money.
Asset Management
Maintain and update the fixed asset register. Ensure appropriate asset tagging. Coordinate timely physical asset counts. Prepare monthly reports on asset conditions, disposal plans, transfers, and donations in line with applicable procedures.
Warehouse Management
Ensure warehouse management follows DRC procedures and SOPs. Maintain appropriate stock records, bin and stock cards, waybills, and goods-receiving documentation. Ensure procured goods are received according to purchase order specifications. Coordinate timely dispatch of materials. Schedule and coordinate mid-year and year-end inventories. Share weekly stock reports with relevant managers and team leaders. Report monthly warehouse movements and provide recommendations when required.
Fleet & Generator Management
Ensure fleet management follows DRC policies and procedures. Maintain weekly vehicle movement plans. Maintain records for rented vehicles, including licenses, logbooks, fuel consumption, and insurance. Prepare monthly fleet and generator reports. Monitor fuel and other running costs and propose cost-reduction measures where necessary.
Administration
Oversee field-office administration activities. Coordinate accommodation and transportation for field visitors. Support administration of office and facility agreements and liaise with lessors. Ensure staff onboarding and exit procedures are completed in coordination with relevant departments. Ensure monthly utility payments are made on time. Ensure the office remains clean and suitable for work. Coordinate timely purchase of office cleaning materials and consumable supplies.
Requirements
Education
Bachelor's degree in Business Administration, Supplies Management, Management, or another relevant business field.
Experience
At least 3 years of relevant experience for Diploma holders . At least 2 years of relevant experience for Bachelor's degree holders . Experience working with NGOs is required. Experience demonstrating accountability practices.
Skills and Competencies
High integrity and a proactive, stable, and resilient approach to work. Strong teamwork skills. Excellent communication skills. Strong analytical and negotiation skills. Computer skills, including word processing and database management.
Language
Fluent spoken and written English.
